A missed shift and a departing team member affect coverage differently. This free workforce absence tracker separates the two signals so site managers can spot gaps and plan a response without recording a worker’s reason for absence.

What is inside the workbook
The Weekly Counts tab records a Monday-to-Sunday period, site cohort, planned shifts, full missed shifts, opening and closing headcount, joins, exits and transfers. Rates stay blank when a denominator is missing or zero. A headcount check flags a mismatch before you interpret turnover.
Use trends to plan coverage
The Trends tab charts both rates across entered rows. Compare like-for-like site cohorts rather than treating the chart as a benchmark. In Staffing Actions, assign a role, date and follow-up for cover, roster changes or recruitment. Do not enter names, diagnoses or absence reasons. The OAIC explains that employee-records privacy exemptions have limits, including for contractors handling another employer’s information.

Frequently Asked Questions
How is absence rate calculated?
Divide full planned person-shifts missed by all planned person-shifts for that week and cohort. This is an operational count, not a statutory payroll measure.
What counts as turnover?
Count departures from the defined site cohort and divide by the average opening and closing headcount. State whether the cohort includes direct or agency staff.
Can I record sick leave reasons?
No. The shared workbook uses aggregate counts only; keep any individual records in an approved, access-controlled system.
Does a high weekly rate mean we need more staff?
Not by itself. Small teams can swing sharply. Review demand, cover and several consistent periods before acting.
